About the Role
The role of the Executive Assistant and Office Manager is to provide support to the Senior Executive Team. This position is responsible for calendar management, correspondence, expense reporting, travel arrangements, events planning, general administrative support, and general office organization.

Requirements
Provide administrative and organizational support to the Senior Executive Team; coordinate and schedule meetings and appointments on a priority basis; produce meeting agendas, minutes and reports
Screen, assess and anticipate workload based on knowledge of Executives’ and department heads’ priorities
Monitor and respond to verbal and written enquiries from internal and external stakeholders
Receive and direct incoming calls; prioritize, respond to and/or redirect incoming emails and mail as required
Ensure maintenance of all official documents and files; establish procedures for records access
Manage administration office space (supply ordering) and implement efficiencies
Project manage team and special events, coordinate information flow and issue management
Act as a liaison with executive for internal associates, external organizations and partners
Coordinate and process bank reconciliations, corporate credit cards, senior officials’ expense claims, Parq gift card requests, travel requests and invoices
Provide overflow support across the finance team as needed
Provide support to other members of the leadership team if and when time permits
Other duties as assigned
QUALIFICATIONS AND EXPERIENCE
Minimum of 5 years related administrative experience with minimum 3 years’ experience at an executive level
Degree, diploma or certificate in Office Administration, Business Administration or equivalent combination of skills and experience in a related field
Demonstrated excellence in both written and oral communication (i.e. general correspondence, reports, actions plans, minutes and administrative policies and procedures); capable of prioritizing workload and detail-oriented
Ability to exercise discretion and professionalism in handling sensitive situations, and maintaining an appropriate level of confidentiality
Exceptional organizational skills, ability to work independently using initiative and judgment managing issues, projects and people
Ability to work effectively with all levels of management and employees; experience in dealing with external stakeholders at a senior level
Ability to provide superior customer service experience
Able to adapt to changing priorities and managing multiple tasks
Possess a thorough working knowledge of MS Office applications used for word processing, spreadsheet and presentation creation (Outlook, Word, Excel, PowerPoint, etc.)
CERTIFICATES AND/OR LICENSES REQUIREMENTS
Ability to obtain and maintain GPEB registration
Ability to complete all BCLC required trainings
Serving it Right certification
PHYSICAL REQUIREMENTS
Able to lift, handle, and transport materials that are over 20 lbs
Required to sit, stand and walk during working hours
